Assigning Resources and Crews to a Project


Overview

Once a project is created, you assign team members to it from the Team Assignment tab. You can assign an entire crew at once or add individual resources one at a time. Each assignment links a person or group to a specific shift and a date range.

This action requires permission. If the assignment controls are not visible in the Team Assignment tab, contact your administrator.

How to Open Team Assignment

Team Assignment is available from the project edit form. From the Project Management V2 screen, click Edit on a project card, then navigate to Team Assignment.

Team Assignment is not available during project creation. The tab appears only when editing an existing project. After creating a new project, the detail view opens automatically with a banner guiding you here — click Edit to open the form.


Two Ways to Assign

Assignment typeUse when…

Select the type using the toggle or selector at the top of the assignment form, then fill in the fields for that type.


Assigning a Crew

Select "Crew" as the assignment type

Switch to the Crew assignment option at the top of the form.

Select a crew

Choose from the available crew groups associated with your organization.

  • Crews are configured in the Crew Management module.

Select a shift

Choose which shift this crew will work.

  • Only shifts that have been saved with the project appear here. If a shift you just added is missing, save the project first and re-open Edit.

Set the allocation dates

Enter the start date and end date for this crew's assignment — the period they will be active on this project.

  • Dates must fall within the project's own start and end dates.
  • End date must be after start date.

Click Assign

The crew is added to the project. All members of the crew appear in the assignments table below, linked to the shift and date range you selected.


Assigning an Individual Resource

Select "Resource" as the assignment type

Switch to the Resource assignment option at the top of the form.

Search for the resource

Type the person's name in the search field and select them from the autocomplete results.

Select a shift and set allocation dates

Choose the shift and the start and end dates for this person's assignment.

  • Only saved shifts appear in the shift selector.
  • Dates must fall within the project's date range.

Click Assign

The resource is added to the assignments table.


The Assignments Table

All current assignments are shown in a table below the assignment form. Each row shows:

Editing a Resource's Hourly Rate

If you have the can_edit_pay_rate permission, an Edit Rate button appears on each row.

Click Edit Rate

The rate edit form opens for that resource.

Enter the new hourly rate

Type the rate in the $/hr field.

  • Must be between $0.01 and $999.99.
  • The OT $/hr field updates automatically to 1.5× — it is not editable directly.

Save

The table updates immediately with the new rate.


Removing a Resource

Click Remove on any row in the assignments table to remove that person from the project. The removal takes effect immediately.

Removing a resource revokes their access to the project. They will no longer be able to punch in to it from the mobile app.


Things to Know

Only saved shifts appear in the shift selector. If you add a new shift in Tab 4 (Shifts) but have not saved the project yet, that shift will not appear as an option when assigning. Save the project first, then re-open Edit to assign the new shift.

Allocation dates can be changed after assigning. If a team member's start or end date needs to change, use the Edit Allocation function. See → Managing Allocation Dates.

Rate and overtime columns are permission-gated. The $/hr and OT $/hr columns only appear for users with permission. Other users see the same table without those columns.
