Reviewing and Approving Time Off Requests


Overview

When a team member submits a time off request, it appears in your Leave Management queue for review. You approve or deny the request, classify the type of leave, and optionally leave a comment for the employee.

This article covers how to find pending requests, review them, and take action.

This action requires manager-level access. The Leave Management queue and approval controls described here are only available to users with manager permissions.

How to Access Leave Management

From the sidebar, tap Time Off → Time Off Management. This opens the full list of time off requests from your team.


The Request List

Each card in the list shows:

Employee name and roleWho submitted the request and their project role
Start and end datesThe requested time off period
Reason and commentThe reason selected and the note the employee wrote

Filtering the List

Use the controls at the top of the screen to narrow down the list:

  • Search bar — filter by employee name
  • Employee Role — show requests from Foremen or Technicians only
  • Start Date / End Date — filter by date range

Reviewing and Taking Action

Find the request

From the Leave Management list, find the request you want to review and tap View.

  • Use the search bar or role filter to locate requests faster.

Review the request details

The detail screen shows the employee's name, role, requested dates, reason, and their comment. Review the information before taking action.

Select the time off type

Choose the category that applies to this request:

  • PTO — Paid time off
  • Non-PTO — Unpaid or non-accrued time off
  • Sick — Illness or medical appointment
  • Bereavement — Death in the family or related leave
  • Holiday — Company or public holiday

Select your action

Choose Approve or Deny.

  • If you select Deny, a popup opens asking for a reason — this is required and visible to the employee.

Tap Submit

Your decision is saved. The employee receives a push notification with the outcome. The request moves to the Approved or Denied status in both your list and theirs.

After Taking Action

Once you approve or deny a request, the detail screen becomes read-only. It shows:

  • The time off type you selected
  • The outcome: "Time Off Request is Approved." or "Time Off Request is Denied."

You cannot change a decision after submitting. If a correction is needed, contact your administrator.


Things to Know

You assign the time off type — the employee does not. Employees choose a general reason when submitting (Vacation, Sick Leave, etc.) but the formal classification — PTO, Non-PTO, Sick, Bereavement, or Holiday — is set by you when you approve.

Denial reasons are visible to the employee. Whatever you write in the denial comment is shown to the employee in their request details. Write a clear, professional reason that helps them understand the decision.

Employees can update a pending request within 48 hours. If an employee edits their request before you act on it, you will receive a new notification. The updated details replace the original — review the current version before deciding. See → Managing Your Time Off Requests.

Approved and denied decisions are final. There is no undo from the app. If a decision needs to be reversed, contact your administrator.
