The Resource Calendar

Overview

The Resource Calendar is a panel that slides open when you click on a team member in the resource list. It shows their entire month at a glance — which days they are assigned to a project, which days they have time off pending or approved, and which days they are available with no assignment.

This is one of the most useful views in Resource Management for spotting scheduling gaps, conflicts, and overbooked days before they become a problem.

How to Open the Calendar

From the Resource Management screen, click on a team member's avatar in the resource list. The calendar panel slides in from the bottom of the screen, pinned below the resource list.

Click the in the top-right of the panel to close it. Clicking a different resource swaps the panel to show that person's calendar.

Monthly Statistics

At the top of the panel, four counters summarize the selected person's month:

StatWhat it counts
AssignedDays this month where the person has at least one active project assignment
Pending Time OffDays covered by a time off request that has not yet been approved — shown in orange if greater than 0
Approved Time OffDays where time off has been approved
Non AssignedWorking days with no project assignment and no approved time off

Non Assigned days highlight gaps in your team's coverage. A high Non Assigned count for a resource may mean they need to be added to a project for that period.

The Calendar Grid

Below the stats, the calendar shows the full month in a Sunday-to-Saturday grid. Each day can show one or more colored dots indicating what is happening on that day:

Dot colorWhat it means
Project color (unique per project)The person is assigned to that project on this day
YellowThe person is Overbooked — assigned to more than one project on this day
OrangePending time off request covering this day
GreenApproved time off covering this day
RedHoliday

A day can show multiple dots if the person has overlapping assignments or a mix of assignment and time off. Yellow (Overbooked) takes priority visually.

Today's date is highlighted with a distinct background to help orient you in the month.

Navigating Months

Use the ← → arrow buttons on either side of the month label to move forward or backward. The stats and calendar grid update to reflect the selected month.

The Legend

Below the calendar grid, a color legend identifies each project by its assigned color. This makes it easy to tell at a glance which project a dot belongs to when a resource is assigned to multiple projects.

Holidays

Below the legend, a collapsible Holidays section lists any holidays falling within the selected month. Each entry shows the holiday date and name. Red dots on the calendar grid correspond to entries in this list.

Time Off Requests

At the bottom of the panel, the Time Off Requests section lists all leave requests for the selected month:

ElementWhat it shows
Date rangeThe start and end dates of the request
StatusPending (orange) or Approved (green)

Click any time off request in this list to open the leave review popup, where you can approve, deny, or adjust the dates.

→ See Reviewing a Time Off Request from the Calendar for the full guide on that flow.

Things to Know

The calendar only shows data for the selected month. Use the arrow buttons to navigate to other months — past or future.

Clicking an Overbooked day does not open a detail view. The yellow dot is a visual indicator only. To understand which projects are causing the overlap, check the person's assigned projects from their resource detail page. See → Resource Detail: Projects, Crews, and Shifts.

The calendar reflects approved time off, not pending. A pending time off request shows as an orange dot but does not block the person's availability until it is approved.
