How to Submit Your Timesheet

Overview

At the end of each week, you submit your timesheet for review. Submitting sends your hours to the next person in the approval chain — your supervisor validates them, and a manager gives the final approval.

This article covers how to submit your timesheet, what happens after you submit, and the special case where a manager can approve their own timesheet directly.

For an overview of the timesheet screens and their elements, see → Your Timesheet: Weekly View and Daily Breakdown.

Before You Submit

Two things must be true before you can submit:

  • You must be punched out. If you are currently punched in, the app will block the submission with the message: "Please punch out before submitting your timesheet." See → How to Punch In and Punch Out.
  • The week must have timesheet data. You cannot submit an empty week.

How to Submit

01

Open the weekly timesheet

From the sidebar, tap Timesheet → Own. Find the week you want to submit and tap View.

02

Tap Submit

The Submit button appears at the bottom of the daily breakdown when the week is ready to submit.

  • If the button is not visible, the week may already be submitted or may not have any punch data yet.
03

Add a comment (optional)

A popup appears where you can add a note before confirming. The comment becomes part of the timesheet record and is visible to your reviewers.

  • A comment is optional at this step — you can submit without one.
04

Submission confirmed

Your timesheet is submitted. The status bar at the bottom updates to show the current status, and your reviewer receives a notification to review and validate your hours.

What Happens After You Submit

Once submitted, your timesheet moves through a review chain before it is fully approved:

StepWho actsWhat they do
1 · SubmittedYouSubmit your weekly hours
2 · ValidatedYour supervisorReviews your hours and validates them (with or without comments)
3 · ApprovedManagerGives final approval

Your timesheet status updates automatically as it moves through each step. Check the Pending tab on your weekly list to track progress.

Managers: Approving Your Own Timesheet

If your role allows you to approve your own timesheet, you will see an Approve button instead of Submit at the bottom of the daily breakdown.

01

Tap Approve

From the daily breakdown, tap the Approve button at the bottom of the screen.

02

Review or edit before confirming

A confirmation popup appears with two options:

  • Edit Hours — opens the edit screen to adjust punch times before approving. See → [How to Edit a Timesheet Entry](https://www.geo-cx.com/docs/how-to-edit-a-timesheet-entry).
  • Confirm — approves the timesheet as-is.
03

Timesheet approved

The timesheet is marked as approved immediately. It moves to the Approved tab on your weekly list.

Things to Know

Submitted timesheets move to Pending. Once you submit, the week card moves from the unsubmitted state to the Pending tab. It stays there until your reviewer acts on it.

You cannot edit after submitting. Once a timesheet is submitted, the Edit option is no longer available to you. If a correction is needed before approval, contact your supervisor — they can edit entries on your behalf.

If your timesheet is rejected, it will appear in the Rejected tab with the reason attached. You can resubmit it after reviewing the feedback. See → How to Resubmit a Rejected Timesheet.
